Deposits Setup Dialog

Top  Previous  Next

Start setting up deposit definitions by opening the Deposits Setup dialog (Maintenance / Park Setup / Deposits).  This will list any already defined (if there are any), with their Description, Deposit Type, and whether it's enabled.  From here you can add or edit deposits, delete obsolete deposits, and move deposits in the list.

You can also Print or Export  the shown list at any time.

Adding or Editing Deposits

Note that the information shown for the Deposits in the list are coming from the Deposit Definitions -- they cannot be changed directly in the list.  You need to Edit the definition to change it.

The basic procedure for defining a Deposit is to click Add definition, and then enter the details of the Deposits Definition including the applicable Deposit Calculation Type and parameters, along with the applicable sites, dates, etc that determine its function. Insert is the same as Add, except that the deposit will be inserted in the list at the current selection point, rather than added to the end of the list.  You can edit any of the existing deposits by clicking on the deposit in the list and selecting Edit deposit definition, or you can double-click on the deposit in the list.

Warning -- Once a deposit is edited or deleted, there is no way to Cancel the operation -- the changes are permanent once you leave the Edit Deposit dialog and come back to the Set Up Deposits dialog.

You can Move, Delete, or Copy one or more deposits by selecting the deposits in the list (Ctrl-click or Shift-click will select multiple deposits), and then click the appropriate button.  Copying deposits is very handy if you have groups of deposits that are similar but have slight variations, such as sites or season dates.

IMPORTANT -- Using the Deposit Definitions

The Deposits Setup is just the definitions -- they won't be used for anything unless you also set the options in Program Options / Reservations, so it knows what to use them for.  It can either be set to populate the "Amount of Deposit" field as soon as you open that dialog, or you can add a button to Auto-Set the deposit amount when desired. Don't forget this step!

Deposit Order

Deposits are always checked top-down, from the first in the list to the last.  As with Rates, the order can be important.  When looking for an applicable deposit, it will use only the first one it finds that applies to the reservation.  It will not combine multiple deposit amounts.  So most of the same rules for Rates proper order apply to Deposits as well.

Add to or Remove date(s) from Deposits

These functions allow you to select any number of deposits, enter one or more dates or date ranges, and will add or remove those dates from the applicable dates for the deposits selected.  It does so by adjusting the "Special Dates Applicable" or "Special Dates Not Applic." fields of the Deposit definition.  It won't modify the "Season Dates" setting.

Importing and Exporting Deposits

These functions allow copying a deposits setup from one database to another (or between computers).  This is used if you have your software provider do the setup on another system and then need to import that setup to the working database on your computer.  The Import function will only work with files exported using the Export Deposits function here.  It cannot import deposits from a user-created file.

The Export function creates a text (CSV) file in a special format that the Import function can read.  This can include one or more definitions (select the entry or entries to export before clicking the Export button).  To complete the export, select the location (Save in) and the file name for the exported file with the "Export" file dialog is shown.

The Import function is simply the reverse of Export -- select the CSV file containing the exported deposits, and Open it to import the deposits into your database.
